  • What is HCL Notes?

    What is HCL Notes?

What is HCL Notes? I still get this question from time to time.

HCL Notes is the current name of the software we used to know as Lotus Notes and later as IBM Notes. Notes is best known as an email and collaboration client, but it can do much more than just handle email.

Together with HCL Domino, Notes forms a platform for communication, collaboration and business applications.

I have been working with Notes and Domino since 1995. Over the years, the product name has changed several times, but the basic idea has remained the same: organizations can use it to support and automate business processes and applications.

HCL Notes and Domino: Still Relevant

I get this question, of course: Is HCL Notes and Domino still relevant?

    My answer: Absolutely.

There are certainly organizations that choose to phase out their Domino environment or replace existing applications with other solutions. But that does not mean that HCL Notes and HCL Domino have no future.

Quite the opposite. Domino is still a powerful platform for developing and running business applications. That can mean maintaining and modernizing an existing environment, but it can just as well mean developing new applications, adding new functionality or even setting up a new Domino environment.

Its strength lies precisely in the combination of a mature and proven platform with the capabilities that HCL continues to develop. A good example is the ongoing development around Domino IQ and AI, which opens up new possibilities within the Domino world as well.

Your data, your AI, your control

AI does not have to mean sending all your data to an external cloud environment. With Domino, you can instead consider an environment where your data, your applications, your email and your AI remain under your own control.

This makes Domino interesting not only for what you already have today, but especially for organizations thinking about AI, data sovereignty and the IT environment of tomorrow.

For organizations that have been working with Domino for many years, the question is therefore not only how to keep existing applications running. It is at least as interesting to look at what you can build and achieve with Domino today and tomorrow.

That is exactly the kind of work I do.

    Modern Capabilities

Notes and Domino have been around for decades — and the platform continues to evolve. HCL continues to add new capabilities for modern application development, AI, integration and access to existing Domino applications.

The result is a mature platform that can support both existing business applications and new solutions, while connecting Domino with the technologies and services used in modern IT environments.

HCL Nomad: Your applications, anywhere and anytime

HCL Nomad is designed for organizations that want to bring their trusted HCL Notes applications to the modern workplace without complex redevelopment projects. With Nomad, you can access your existing Domino applications from a range of devices:

    • Mobile & Tablet: Use your applications on iOS (iPhone/iPad) and Android devices. HCL Nomad can make use of mobile features such as the camera for scanning barcodes or GPS for location data within your workflows.
    • The Browser (Nomad Web): Run your Notes applications directly in modern web browsers such as Chrome, Edge and Firefox. This means end users do not need to install the full Notes client, which can significantly simplify IT administration.
    • Offline working: One of the unique advantages of Nomad is that applications can continue to work offline. Once connectivity is restored, the data is automatically synchronized with the server.

HCL Domino IQ: Intelligent support with AI

With the introduction of HCL Domino IQ (also known as HCL IQ), HCL is making a strong move into artificial intelligence (AI), while keeping the focus on control over your own data.

    • AI on your own infrastructure: Unlike public AI services, Domino IQ can run on your own infrastructure, either on-premises or in your own cloud. This means sensitive business information does not have to leave your secure Domino environment.
    • Intelligent features: Domino IQ can help summarize long email threads, translate documents and automate repetitive tasks within your applications.
    • Development: For developers, Domino IQ introduces new possibilities, including the NotesLLM classes, for integrating AI functionality directly into custom applications and making them even more powerful and user-friendly.

HCL Domino Leap: Build applications quickly and easily

HCL Domino Leap (formerly known as Domino Volt) enables business users and IT professionals to develop applications significantly faster than with traditional development methods. It is a powerful low-code platform that runs directly on your existing Domino infrastructure.

    • Visual drag-and-drop designer: Build forms, workflows and dashboards in an intuitive browser-based environment without requiring extensive programming knowledge.
    • Seamless integration: Leap applications can store their data directly in Domino databases (.nsf). This means they can benefit from the proven security, scalability and replication capabilities of the Domino platform.
    • Workflow automation: Design complex approval processes and automated notifications with just a few clicks. This makes Leap particularly useful for HR requests, expense claims and quality management.
    • No additional footprint: Because Leap is integrated with the Domino platform, there is no need for a separate database or complex middleware. Your existing security and administration concepts can continue to be used.

HCL Domino as an OIDC Provider: One Central Identity

Starting with HCL Domino 14.5, Domino can act as an OpenID Connect (OIDC) provider. This allows Domino to authenticate users not only for Domino applications, but also for other applications, servers and services within your infrastructure that support OIDC.

This makes it possible to use Domino as a central authentication service and implement Single Sign-On (SSO), without having to rely on an external identity provider for every application.

Your users, your authentication and your infrastructure — under your own control.

Modernize your Domino environment with the HCL Domino REST API

    image

The HCL Domino REST API (formerly known as Project KEEP) provides a bridge between your valuable Domino data and the modern web. It allows developers to expose Domino applications using standard REST technologies without requiring specialized Notes knowledge.

Why use the Domino REST API?

    • Accessibility: Build modern web or mobile applications using popular frameworks such as React, Vue or Angular, directly connected to your Domino backend.
    • Security: Control data access precisely using powerful schemas and scopes, ensuring that users can only access the data they are authorized to see.
    • Integration: Easily connect your Domino data to external systems and modern API-driven tools.
    • Future-ready: Keep the stability of the Domino platform while taking advantage of modern software development approaches.

INECO can help you get started. Implementing and configuring a robust API environment requires a careful approach. INECO has the expertise to integrate the Domino REST API seamlessly into your infrastructure. Whether it is the initial installation, securing your data endpoints or building integrations, we can help you get off to a strong start.

What can Domino and Notes do?

    Mail

Domino is a powerful, full-featured mail server. The server supports IMAP, POP3, SMTP and Notes Mail.

Notes is the mail client software, but email can also be accessed through a web browser or a mail client that supports IMAP or POP3.

As a mail server, Domino is a good alternative to Microsoft Exchange.

    Calendar

The Notes client can be used as a calendar and scheduling system, similar to Microsoft Outlook.

The Domino server allows users to share calendars with colleagues and schedule meetings, reserve rooms and delegate tasks.

    Groupware

IBM was a pioneer in groupware: software designed to help teams work together more efficiently. IBM was already providing organizations with what we would now call an intranet before the term itself had even been coined.

The Notes client includes applications that can be deployed quickly, such as discussion forums, blogs, document management and collaboration applications.

End users can also build their own applications, if permitted by the administrator. The advantage is that these applications can then be made available centrally through the server and used by multiple users.

    (Web) Application Server

The Domino server provides a full development environment, including LotusScript and Java, for building applications that run in the Notes client, a web browser, on tablets or on smartphones.

There is also a wide range of software available for Notes and Domino, including open-source solutions. In addition, Domino can be integrated with many other systems and databases.

    Traveler

When HCL Traveler is installed alongside a Domino server, email, calendar appointments and tasks can be synchronized with mobile devices such as Apple iOS and Android devices.

    HCL Notes and HCL Domino

Notes and Domino are often mentioned together, but they have different roles.

HCL Notes is the client that users use to access email, calendars and Domino applications. The Notes client also provides functionality for working locally with data and applications.

HCL Domino is the server platform on which databases and applications are managed and made available to users. Domino also handles, among other things, replication, security and access to applications and data.

A Domino environment can therefore be much more than just a mail server.

    HCL Notes Client

The Notes client provides users with features including:

    • email;
    • calendars and meetings;
    • contacts;
    • tasks;
    • access to business applications;
    • offline access to locally replicated data.

The Notes client can be used together with a Domino server. For certain applications, Notes can also work locally with replicated data.

There are also other ways to access Domino functionality, for example through a web browser or mobile applications.

    HCL Domino Designer

For developing traditional Domino applications, there is HCL Domino Designer.

With Domino Designer, developers can create and maintain forms, views, agents and other components of Domino applications. Depending on the application, developers can use technologies including LotusScript, JavaScript, Java and the Domino formula language.

Existing Notes and Domino applications can also be maintained and extended using Domino Designer.

This is one of the reasons Domino has been used for custom business applications for so many years. An organization can build an application that fits its own processes precisely, rather than having to adapt its business processes to a standard software package.

    HCL Domino Admin

    HCL Domino Admin

The HCL Domino Admin client (also known as Domino Administrator) is a software application that administrators can use to manage an HCL Domino environment, including servers, users and databases. It is the traditional client for administrative tasks and is also available through a web-based interface for modern administration.

    HCL Domino Server

    HCL Domino Server

The Domino server is at the heart of a Domino environment.

Domino makes databases and applications available to users. It also provides, among other things, security, replication and server communication.

Domino can be used in both small and large environments and supports clustering for situations where high availability is important.

Domino can also make applications available through the web. This means that users do not necessarily need the Notes client for every application.

From Lotus Notes to HCL Notes

The origins of Notes go back to Lotus Development Corporation. The product was developed in the 1980s as a platform for collaboration and information sharing. Ray Ozzie was one of the key developers behind the original product.

In 1995, IBM acquired Lotus Development Corporation. Lotus Notes and Domino subsequently became part of IBM’s software portfolio.

In 2013, IBM changed the product names. Lotus Notes became IBM Notes, and Lotus Domino became IBM Domino.

In 2018, IBM announced that it would sell a large part of its software portfolio, including Notes and Domino, to HCL. The acquisition was completed in 2019. Since then, the products have been developed and marketed by HCLSoftware as HCL Notes and HCL Domino.

This history also explains why you can still find names such as Lotus Notes, Lotus Domino, IBM Notes and IBM Domino throughout the internet and in older documentation. In many cases, these are simply different names for the same product at different points in its history.

HCL Notes and Domino at INECO

I have been working with Lotus Notes, IBM Notes, Lotus Domino, IBM Domino and, more recently, HCL Notes and HCL Domino since 1995.

Over more than three decades, I have developed and maintained many different applications and managed a wide variety of Domino environments. I use that experience both for existing environments and for new development projects.

Whether it is maintaining and modernizing an existing Notes application, developing new functionality, integrating Domino with other systems or setting up a new Domino server, I am happy to think along with you about what is possible.

Do you have an existing Domino environment and want to get more out of it? Or do you have a new idea for which you are considering Domino?

Feel free to get in touch.

I would be happy to explore the possibilities of HCL Notes and Domino with you — today and with an eye on the future.

  • #dominoforever – dominoforever.nl

    #dominoforever – dominoforever.nl

What does #dominoforever have to do with INECO? Quite a lot, actually.

I’ve been working with Lotus Notes since 1995, later IBM Notes, and today HCL Notes and HCL Domino. Over all those years, I’ve seen the platform change quite a bit, but one thing has essentially remained the same: there are still organizations that rely on Domino and Notes every day.

A few years ago, I first came across the hashtag #dominoforever at a large Domino user conference.

It was intended as a positive message from the Domino community: despite all the stories over the years about Notes and Domino disappearing, there are still many users, developers, and administrators working with the platform.

I thought the slogan suited INECO quite well.

And when I discovered that dominoforever.nl was still available in the Netherlands, I decided to register the domain name. 😉

    Why #dominoforever?

Because I’m simply still enthusiastic about the platform.

Of course, HCL Domino is not the right solution for every organization. But for organizations that have been working with it for many years, it can be an exceptionally powerful and reliable platform.

And Domino is certainly not standing still. Since HCL took over the development of Domino and Notes from IBM, many new features and improvements have been introduced.

Initially, I was quite skeptical about HCL taking over the product. Looking back, that turned out to be unnecessary. In my view, HCL has listened carefully to users and partners and has further developed the product in several areas in a relatively short period of time.

    Domino forever?

Of course, no one can predict whether Domino will literally exist forever.

But as long as there are organizations using it, developers building solutions with it, and administrators maintaining these environments, I certainly have plenty of reason to keep working with it.

And after more than 30 years, I’m not ready to stop anytime soon.

Do you have an HCL Notes or Domino environment that you could use some help with?

    I’d be happy to help.

    Remote or on-site administration

Not every organisation needs a full-time Domino administrator.

In a large environment, Domino administration can be a full-time role, while in a smaller environment, a few hours per week may sometimes be sufficient.

That is why I like to look at what your environment actually needs.
Administration can be provided remotely or on-site, on a regular basis or whenever needed.

We can agree on either an hourly basis or a fixed number of hours. Support is also available through a support contract.

    The underlying infrastructure too

In larger organisations, HCL Domino administration is often separated from the management of the underlying infrastructure.

For example, a system administrator or infrastructure team may manage the Windows or Linux server, storage and network infrastructure, while the Domino administrator focuses on Domino and Notes.

In smaller organisations, these responsibilities often overlap.

My core activities are HCL Domino administration and development, but where practical, I can also support you with the administration of the underlying systems and infrastructure.

More information can be found under INECO – General System Administration.

  • HCL Notes Application Development

    HCL Notes Application Development

HCL Notes application development has been an important part of my work at INECO since 1996.
Over the years, I have developed, adapted and maintained many different HCL Notes applications.

HCL Notes offers a wide range of possibilities. I am happy to think along with you about what is possible and translate your requirements into a practical solution that fits your organisation.

My starting point is simple: an application should do what you need it to do, be pleasant to work with and be easy to maintain.

    • Workflow applications
    • CRM applications
    • Risk analysis applications
    • Reporting tools
    • Online ordering applications for machine parts
    • Websites
    • Invoicing applications
    • Event planners
    • Helpdesk applications
    • Various Domino administration tools
    • Migration databases
    • Electronic patient record (EPR) applications
    • Document processing
    • Insured persons administration
    • Claims processing
    • Leave request applications
    • Interfaces with SQL backends
    • Accident reporting
    • Complaint management applications
    • Dynamic testing and examination applications
    • E-mail monitoring and processing

And that is just a selection of what is possible.

Do you have an existing application that needs to be adapted or extended, or would you like to have something new developed? I am happy to think along with you.

    General Software Development

Although developing and maintaining HCL Notes applications is still my main area of work, I am increasingly asked to help with software development outside the HCL platform as well.

I can help with that too. I have experience with Microsoft Visual Studio, including C# and VB.NET, as well as web technologies such as PHP, JavaScript, HTML5 and CSS. I also work with other programming languages, including Python.

In practice, this can involve adapting or extending existing Visual Basic applications, developing websites, themes and plug-ins in PHP, developing applications in Python, or solving problems in existing source code.

You can find more information on General Software Development.

  • INECO Support Contract

    INECO Support Contract

    No Domino specialist in-house?

Not every organisation needs its own HCL Notes or HCL Domino specialist. But when something goes wrong, it is reassuring to have someone you can call who knows the technology and understands how your environment works.

With an INECO Support Contract, you have an experienced specialist available when you need one.

You are not just buying technical support, but also availability and continuity. Time is reserved for your organisation, and support contract customers receive priority when scheduling work.

    The benefits

    • Availability – time is reserved for your organisation.
    • Priority – support contract customers receive priority when scheduling work.
    • Lower support costs – support covered by the contract is more cost-effective than ad-hoc support.
    • Discount on additional work – depending on the contract, you may receive a discount on work outside the contract.
    • Flexible support – support can be provided remotely or on-site.
    • Broad support – the contract is not limited to HCL Notes and HCL Domino. By agreement, I can also help with other ICT-related issues within my area of expertise.

Since 2015, my support contracts have therefore not been limited to HCL Notes products. This allows me to tailor the service to what your organisation actually needs.

A support contract that suits your needs

You can choose from different forms of support, both remotely and on-site. The two can also be combined.

    For example:

1 hour of remote support + 8 hours of on-site support

    How does the support work?

You can report questions and incidents by email or telephone.

During office hours, the response time is a maximum of 4 hours. Within that time, I will let you know that the incident is being handled.

A normal incident will be resolved within 48 hours or, if that is not possible, escalated. If an incident needs to be escalated, I will discuss the expected time frame and any additional costs with you beforehand.

This is a response time and a target for resolution, not a guarantee that every technical problem will be resolved within 48 hours.

    The practical arrangements

A support contract should above all be clear and practical. Therefore, there are a few straightforward rules:

    • Different contract types can be combined.
    • Hours for remote support cannot be carried over to the following month.
    • On-site support hours can be accumulated up to a maximum of 4 days per month.
    • Accumulated on-site hours can also be used for remote support.
    • Unused hours are not refundable.
    • Work outside the contract is charged at the applicable hourly rate, with a minimum of one hour per incident. This will always be discussed with you beforehand.
    • I will determine, in consultation with you, whether a request or activity falls within the scope of the contract.

    Holidays, illness and availability

A support contract is provided on a best-effort basis. I therefore cannot guarantee that every problem will be resolved within a specific time frame.

If I know in advance that the agreed response time cannot temporarily be guaranteed due to, for example, holidays or illness, I will let you know as soon as possible. Where possible, I will offer an alternative.

This could mean temporarily involving another specialist or deducting the affected period from the invoice.

    Contract period and invoicing

A support contract has a minimum term of six months.

After that, either party can terminate the contract with one month’s notice.

Invoices are issued monthly in arrears.

Don’t need a Domino specialist for a full week?

    That’s perfectly fine.

A support contract can be particularly useful for smaller organisations. You don’t need to employ a specialist for a problem that may only occur a few times a month. Instead, you have an experienced specialist available when you need one.

And because I work across development, administration and consultancy, I can look beyond simply fixing a technical problem.

A problem with an application? I can investigate it.
A Domino server that needs attention? I can help.
An old application that needs to be modified? I can work on it.

One point of contact for your Domino environment.

    Want to know more?

Would you like to know whether a support contract is right for your organisation? Or would you simply like to discuss what you actually need?

Feel free to contact me for an informal, no-obligation discussion.

  • HCL Domino / Notes v11 is available

    What’s new in HCL Domino® 11.0?

    • New Domino® licensing model
Active license management is not available for production use licenses at this time. Therefore, configuring a FlexNet license server for Domino 11.0.0 is not required.
    • Product rebranding
References to IBM® have been rebranded to HCL for the Notes® and Domino® product family.
    • New InstallAnywhere platform for Domino®
Flexera InstallAnywhere 2018 is the underlying install platform used as of HCL Domino® 11.
    • Directory Sync
Directory Sync allows you to sync people and group data from an external LDAP directory into the Domino® directory. Currently data from Active Directory can be synced.
    • DAOS tier2 storage
Domino® Attachment Object Service (DAOS) tier 2 storage enables you to use an S3-compatible storage service to store older attachment objects that haven’t been accessed within a specified number of days. This feature allows you to reduce the amount of data stored on Domino servers that use DAOS. It can also improve the performance of any incremental file backups done for DAOS.
    • New Java™ Runtime Environment
The Java™ Runtime Environment (JRE) that comes with HCL Domino® 11 and HCL Domino Designer 11 is now Eclipse OpenJ9 that is provided through AdoptOpenJDK.
    • IBM® GSKit cryptographic libraries replaced with the OpenSSL equivalents
On all HCL Notes® and Domino® platforms, OpenSSL 1.1.1a cryptographic libraries replace the IBM® GSKit libraries provided in earlier releases.
    • Limiting ID file downloads from the ID vault is disabled for SAML federated login
When SAML Notes® federated login or SAML Web federated login is the authentication method used to extract HCL Notes ID files from the ID vault, the value for the ID Vault policy setting Allow automatic ID downloads is now ignored. (This setting is in the ID vault tab of a Security Settings policy document).
    • Authenticating web users against the Notes ID passwords in the ID vault
You can configure HCL Domino® to use the password in an ID vault to authenticate web users that access the server.

What’s new in HCL Notes 11?

    • New modern look
      HCL Notes® 11 has a simplified, user-oriented look.
    • Cleaner, modernized UI
The overall appearance of Notes® has changed in this release.
    • Minimalistic menus
Less used actions and options are hidden until you need them. Drop-down and expanding menus allow you to retain all previous capabilities without cluttering the workspace.
    • Simplified forms
Forms within Notes Calendar and Contacts are organized in a basic, user friendly layout.
  • Set the Workspace as the default homepage when rolling out Notes 9.0.1

Set the Workspace as the default homepage when rolling out Notes 9.0.1

For customers who want to show the Workspace as default when rolling out new IBM Notes 9.0.1 workstations, a small adjustment will have to be made to the Bookmark.ntf.
To adjust the Bookmark.ntf for all users:

    In Notes 9.0.1

    1. Start the Domino Designer client.
    2. Open the Bookmark.ntf database template.
    3. Expand the Shared Elements category on the left, and then expand Outlines

    4. Scroll down in the Outlines list and click on “UserBookmarkOrderTemplate”. The outline will open in the right window.
    5. Select Design > Outline Properties. Rename the outline to “UserBookmarkOrder” (or remove the “Template” part from the name).

    6. Select File > Save in the Designer menu.
    7. Open the Applications outline.
    8. Select the Workspace line.

    9. Make sure the InfoBox changes from Outline properties to Outline Entry properties (or, if you closed the InfoBox earlier, open this new one by choosing Design > Outline Entry Properties). Go to the second tab (“shade” icon).
    10. Hold down SHIFT and click on ‘Hide Outline Entry From’ property labeled ‘Notes 4.6 or Later’.

Note: Keeping the Shift pressed at the same time and clicking on the ‘hide option’ will make this outline (Workspace) the default bookmark!

    11. Release the SHIFT key.
    12. De-select the ‘Hide from’ property ‘Notes 4.6 or Later’.
    13. The administrator can now roll out the template for each user (by preparing the template when starting Notes for the first time or by executing a database replace design with existing users on Bookmarks.nsf for existing users)
